Transcript Session Workspace

Open a completed session to follow one workspace from transcript cleanup to subtitles, summary generation, export, tagging, sharing, and session-level actions.

Usage

Use the Transcript Session Workspace after VoxStudio finishes processing a session and you need to turn the result into something usable, shareable, or publishable.

Treat the page as one connected workflow: start with the header and session actions, move through Transcript or Subtitles, open Summary when needed, and finish with Export, tags, or share actions.

This page is not a static viewer. The buttons and tabs are the workflow map that connects transcript cleanup, template-based summaries, manual editing, AI assistance, and final output.

The same workspace can also surface action items, so you can turn reviewed transcript content into follow-up tasks before you export or share the session.

Before you start

Open the workspace only after the session has finished processing. In-progress sessions can still show partial content or disabled actions.

Available actions depend on the source type and generated artifacts. Some sessions support export, share, or dubbing, while others only support text review.

Summary does not use one single layout. Non-video sessions open Summary on the right side, while video sessions place Summary in the lower area below the player.

The summary template library is currently fixed at 10 templates. Users can edit template content for a run, but cannot add or delete templates.

Action items are AI-generated follow-up tasks. Review names, ownership, and wording before treating them as reliable commitments.

Transcript, subtitles, summary, translation, and export do not always become available at the same time. Wait for the relevant artifact before assuming a control is missing.

Edits in this workspace affect the saved session result, so review the text before exporting or sharing it publicly.

Start from the main workspace map

Use the main session screen as the anchor for every next action. The header, tab row, toolbar buttons, transcript area, and summary panel all belong to the same editing flow, so you should read the page from top to bottom before changing content.

Use tabs and toolbar buttons as the main controls

Transcript and Subtitles are content tabs. Summary is a panel toggle that opens or closes the summary workspace. Translate, Export, and Dub are action buttons that start follow-up workflows from the same toolbar.

Follow the non-video summary flow on the right side

When the session does not have video, opening Summary shows the summary workspace on the right side. This is where you start from recommended templates, switch to My Template, write manually, or refine the result with AI Assist.

Recognize the video-session layout before using Summary

When the session includes video, the layout changes. Transcript and Subtitles stay on the right, while Summary moves below the player into the lower area on the left. This is a different product layout, not a temporary responsive change.

Use the empty summary state in a video session

The no-summary state for video sessions starts in the lower Summary area. Users can pick one of the 10 fixed templates, open My Template to edit the template requirement before generating, write manually, or ask the chatbot to help produce a summary.

Open Export when the text and summary are ready

The export modal groups content type, variant, format, speaker label handling, and action type in one place. Use it when you need a clean transcript file, subtitle package, or media output for the next step.

Use My Template when the default recommendation is not enough

My Template opens the fixed set of 10 templates. Users can choose the best fit, edit the requirement content, and then generate or regenerate the summary from that customized instruction. Users can change template content, but cannot add new templates or delete existing ones.

Review the generated action items list

When action items are available, use the action items view to scan owners, tasks, and follow-up details extracted from the session. Treat this list as editable working output rather than final truth.

Edit action items before sharing or exporting

Open an action item to correct names, rewrite the task, tighten the wording, or remove ambiguous details before other people rely on it. Review is especially important because AI-extracted follow-up tasks can be incomplete or wrong.

Step-by-step instructions

Start with the header, tabs, and toolbar

Read the workspace controls in order before you start editing. This keeps transcript, summary, and export actions connected instead of treating them as separate tools.

    1. Open the completed session and scan the header

Go to Recent, Tags, Shared Sessions management, or another session list and open the session. Check the title, duration, source reference, creation time, and tags first so you know exactly which asset you are editing.

    2. Use the more-actions menu for session-level control

Open the header menu when you need to regenerate the transcript, manage sharing, or delete the session. These are session-wide actions, so decide on them before spending time on detailed edits.

    3. Treat Transcript and Subtitles as content tabs

Use Transcript when you want speaker-aware text review. Use Subtitles when you are working on timed caption output. Switching tabs changes the text view you are editing.

    4. Treat Summary as a panel toggle, not as a normal tab

Click Summary to open or close the summary workspace while keeping the main transcript area active. The summary panel position depends on whether the session includes video.

    5. Use Translate, Dub, and Export as action buttons

Translate starts language conversion, Dub starts voice generation when available, and Export opens the output modal. These buttons launch workflows from the current session state rather than replacing the main editor.

Edit transcript and subtitle content before summarizing

Transcript quality affects summary quality. Clean the source text first so templates, AI assistance, and export all inherit a better base.

    1. Use the player and segment list together

Play the media, scrub the timeline, and click through segments so text review stays anchored to the source.

    2. Revise wording, punctuation, and speaker labels

Edit segments directly to fix recognition errors, improve readability, and make speaker attribution more accurate.

    3. Use merge and split controls when structure is wrong

If the segment boundaries are awkward, merge or split them before exporting or summarizing. Cleaner segment structure makes downstream reading and subtitles easier.

    Use Summary in non-video sessions

In non-video sessions, Summary opens on the right side of the workspace.

    1. Open Summary on the right side

Click the Summary toggle from the tab row. In non-video sessions, the summary workspace appears in the right-hand panel.

    2. Start from the empty state when no summary exists

If there is no summary yet, use the recommended template cards for the fastest start, choose Write manually if you want to draft from scratch, or open chatbot and ask the bot to summarize the session for you.

    3. Open My Template for controlled template customization

My Template opens the fixed set of 10 templates. Select the closest template, edit its requirement content before generating if needed, and then generate or regenerate the summary from that edited instruction.

    4. Use AI Assist or chatbot when you want help refining the result

After a summary exists, use AI Assist inside the Summary panel for targeted rewrite help. You can also ask the chatbot to summarize or refine the session from the chatbot bubble when conversational help is more natural.

    Use Summary in video sessions

In video sessions, Summary moves into the lower area below the player while transcript and subtitle tools remain on the right.

    1. Recognize the video layout before opening Summary

When the session includes video, the player stays in the upper-left area and the Summary workspace appears below it. The right side remains focused on Transcript and Subtitles.

    2. Use the lower empty state to choose how to summarize

If no summary exists yet, the lower Summary area shows recommended templates and manual entry actions. You can also open chatbot and ask the bot to summarize the session directly. This is the same summary workflow as non-video sessions, but in a different layout.

    3. Use My Template to edit a template requirement before generation

Video sessions use the same fixed library of 10 templates. Open My Template, select one, adjust the requirement text before generation if needed, and run generation from that edited template.

    4. Use chatbot when the summary needs guided drafting

If you prefer a conversational workflow, open the chatbot bubble and ask the bot to summarize the session, tighten the language, or reorganize the output before you finalize it in the Summary panel.

    Review and edit action items

Use action items when you need explicit follow-up tasks derived from the session rather than a narrative summary.

    1. Open the action items output when it is available

After the session content is processed, open the action items area to review extracted follow-up tasks, owners, and supporting details tied to the session.

    2. Check owners, wording, and task boundaries

Action items can over-merge, miss ownership, or use vague wording. Review each item and compare it with the transcript before relying on it.

    3. Edit action items before you share them with others

Open an item, correct names, rewrite the task, and remove uncertainty before other people depend on it as a real commitment.

    4. Use action items together with transcript and summary

Transcript gives you the source wording, Summary gives you the narrative recap, and Action Items gives you the follow-up checklist. Review all three outputs together when meeting accuracy matters.

Finish with export, tags, and sharing

Once transcript, subtitles, or summary content is in the state you want, complete the session with output and organization steps.

    1. Open Export and choose the right output shape

Use Export to choose transcript, subtitles, audio, or video output depending on the artifacts available for the session. Then select format, variant, speaker handling, and delivery action.

    2. Add or refine tags before you leave

Use tags to organize the session by topic, project, customer, or workflow stage so it is easier to find later.

    3. Use share controls only after the content is ready

Create or copy a share link only after transcript and summary content are in the state you want other people to see.

    Tips and examples

Review the transcript while listening to the source for the fastest accuracy pass. Reading only the text can hide timing and speaker issues.

Use Transcript for language cleanup first, then move to Summary so template output, AI Assist, and chatbot guidance all work from a stronger source.

If action items are present, review them after transcript cleanup and before sharing. Task ownership and due-action wording often need human correction.

Remember the layout difference: non-video summaries open on the right, while video summaries live below the player.

Use My Template when one of the 10 built-in templates is close but not exact. Edit the requirement instead of starting over from scratch.

Rename important sessions and add tags before exporting. This makes later retrieval much easier when several similar sessions exist.

    Common problems and fixes

Why is the session open but some actions are disabled?

The session may still be finishing part of the pipeline, or that source type may not support the action you expect. Refresh the workspace first and confirm the required artifact exists.

Why does Summary appear on the right in one session but below the player in another?

That difference is expected. Non-video sessions place Summary in the right-side panel, while video sessions place Summary in the lower area below the player.

Why can’t I see Summary content yet?

Some sessions start with no generated summary. Open the Summary area, choose one of the 10 templates, open My Template to edit a template requirement before generating if needed, write manually, or ask the chatbot to help create the summary.

What can I do if there is no summary yet in the Transcript Session Workspace?

If there is no summary yet, open the Summary area and start from the empty state. You can use recommended templates, open My Template to customize one of the 10 fixed templates before generation, write manually, or ask the chatbot bubble to summarize the session for you.

Why does Export not show the format I need?

Export choices depend on the session artifacts and the content mode you selected. Switch content type first, then review which formats are actually available for that combination.

Why can’t I add a new summary template or remove one I do not use?

The template library is currently fixed at 10 templates. You can edit template content for a run, but adding or deleting templates is not supported yet.

Why does a share action look missing or different?

Share-related controls depend on the current session state and whether a public share already exists. Open the options menu again after the session finishes loading.

Why do action items need review even when they were generated automatically?

Action items are extracted by AI models, so ownership, wording, and task boundaries can be wrong or incomplete. Review and edit them before using them as reliable follow-up commitments.

    FAQ

What is the difference between Transcript and Subtitles?

Transcript is meant for review and editing as readable text, while Subtitles are timed caption segments intended for caption files and publishing workflows.

Is Summary a normal tab like Transcript and Subtitles?

No. Transcript and Subtitles are content tabs, while Summary opens or closes a separate summary panel inside the same workspace.

Do I need to finish transcript edits before generating a summary?

That is the recommended order. Summary quality is usually better after transcript cleanup because the generated notes reflect the current saved text.

How many templates are available in My Template?

The current template library contains 10 fixed templates. You can edit the template requirement content, but you cannot add or delete templates yet.

Can I edit the template requirement before generating the summary?

Yes. Open My Template, choose one of the 10 fixed templates, edit the requirement content, and then generate or regenerate the summary from that edited instruction.

Can chatbot help with summary generation?

Yes. You can open the chatbot bubble and ask the bot to summarize the session or refine the draft summary when a conversational AI workflow is more convenient.

Can I ask the chatbot bubble to summarize the session for me?

Yes. Open the chatbot bubble and ask the bot to summarize the session, help draft the first version, or refine an existing summary when a conversational workflow is easier.

Where do I find action items in the session workspace?

If action items are available for the session, review them in the same workspace after processing completes. Use them as an editable follow-up checklist and compare them with the transcript before sharing them.

Can I export directly from this page?

Yes. Use the Export Center in the toolbar to choose the output structure and then download or copy the result when that action is available.

Where do I manage sharing for a session?

Use the session options menu for share-related actions, and use Shared Sessions management when you need to review or revoke existing public links.
