Meet Bot
Send VoxStudio into a Google Meet, Teams, or Zoom meeting, capture the session after admission, and process the result afterward.
Usage
Use Meet Bot when the meeting is happening on an external platform and you want VoxStudio to join as a visible participant.
This workflow is best for scheduled meetings, interviews, classes, team syncs, and customer calls where the session should be captured after the meeting ends.
Before you start
Meet Bot supports Google Meet, Microsoft Teams, and Zoom invite links.
Zoom links require a connected Zoom account before submission. If VoxStudio detects a Zoom URL and Zoom is not connected, the workflow blocks until you connect it.
The current frontend precheck expects enough Meet Bot quota before starting. The default gate is 30 minutes.
If the meeting uses a waiting room or host approval, the host must admit the bot before recording can proceed.
Use the Record screen option only if you need a video artifact in addition to the transcript.
Step-by-step instructions
Open Meet Bot
Choose Meet Bot from the dashboard or transcription tabs.
Paste the meeting invite link
Use the full meeting URL rather than a short ID alone. VoxStudio detects whether it is a Google Meet, Teams, or Zoom link.
Connect Zoom if required
If the link is a Zoom meeting and you are not connected yet, use the Connect Zoom prompt and then return to your draft.
Set optional details
You can add a title, adjust the visible bot name, and decide whether to record the screen.
Confirm recording permission and consent
Before sending the bot, make sure you are allowed to record or transcribe the meeting and that participants have been informed as required.
Submit the bot to the meeting
VoxStudio sends the bot to the meeting. The bot becomes a visible participant and waits for admission when needed.
Wait for the meeting to finish
Processing typically starts after the bot leaves and the uploaded recording reaches the transcript pipeline.
Open the processed session
After the meeting content finishes processing, review the session in Recent or the workbench.
Tips and examples
Test Meet Bot on an internal meeting first so hosts know what the bot name looks like and how admission behaves.
For Zoom-heavy teams, connect Zoom before you are in a rush so meeting submission is not blocked by first-time authorization.
Turn off Record screen when you only need text output. This keeps the workflow lighter.
Common problems and fixes
Why is the Send bot button blocked for Zoom?
Zoom meetings require a connected Zoom account. Use the Connect Zoom prompt first, then return to Meet Bot and submit again.
Why didn’t the bot join the meeting?
The meeting may not be active yet, the link may be wrong, or the host may need to admit the bot from a waiting room.
Why is there no session immediately after I submit?
Meet Bot sessions are generally created after the recording upload reaches the processing pipeline, not the moment you submit the link.
Why is the screen recording missing?
A video artifact is only created when Record screen was enabled before submission and the capture succeeded.
FAQ
Can I use Meet Bot without connecting Google Calendar?
Yes. Google Calendar helps with discovery workflows, but manual Meet Bot submission works from the meeting link itself.
Can the bot join a private or internal meeting?
Only if the platform allows the bot into the meeting and the host admits it when required.
Does Meet Bot work for past recordings?
No. If the meeting already finished and you have the recording file, use Upload File instead.
Can I rename the bot?
Yes. If you leave the name blank, VoxStudio falls back to a default visible participant name.
