Zoom Integration
Add the VoxStudio Zoom App, connect your Zoom account, use Meet Bot for supported Zoom meeting capture workflows, and remove the app when you no longer need it.
Usage
Use this app when you want to connect a Zoom account to VoxStudio so you can run supported Zoom meeting workflows from VoxStudio.
The Zoom integration is used for account authorization, meeting validation, and Meet Bot workflows that capture a Zoom meeting you explicitly submit.
After the meeting, VoxStudio can turn the captured content into transcripts, translations, meeting records, speaker-attributed text, action items, and other workspace outputs available in your account.
Connect your Zoom account
Use this action when you want to authorize VoxStudio to work with Zoom meeting links and supported Zoom meeting workflows from your VoxStudio account.
An active VoxStudio account.
A Zoom account you are allowed to connect.
Zoom admin approval if your organization requires approval before Marketplace apps can be added.
Ability to review and approve the Zoom authorization scopes shown during the connection flow.
Open Settings → Meeting → Zoom in VoxStudio, or use the Zoom connection prompt in Meet Bot when a Zoom link is detected. Click Connect Zoom, review the Zoom authorization page, and click Allow.
Send Meet Bot to a Zoom meeting
Use this action when you want VoxStudio to capture a specific Zoom meeting and prepare meeting content for transcription and follow-up processing.
Zoom is connected in VoxStudio.
A full Zoom meeting invite URL is available.
The meeting is active or scheduled for a time when the bot can join.
You have permission to record or transcribe the meeting and have handled any participant notice or consent required for your use case.
The meeting host can admit the VoxStudio bot if the waiting room or host controls require it.
Open Workbench → Transcription → Meet Bot, paste the Zoom meeting URL, review the meeting title and visible bot name, choose whether to record the screen, and click Send bot to meeting.
Review and reuse meeting results
Use this action after the meeting when you need to review the transcript, identify speakers, check meeting facts, organize action items, create multilingual text, or reuse the meeting content in your workspace.
The VoxStudio bot joined the meeting and captured the selected content.
The meeting has ended or the bot has left the meeting.
The session has finished processing in your VoxStudio workspace.
You have access to the VoxStudio workspace or session where the results are stored.
Open Workbench → Recent, select the processed meeting session, and review the available transcript, speaker information, translations, action items, summaries, exports, or other generated assets.
Disconnect or remove Zoom access
Use this action when you no longer want VoxStudio to use your Zoom account for future Zoom meeting workflows.
You can sign in to the VoxStudio account that owns the Zoom connection.
You can sign in to the Zoom account where VoxStudio was added.
If your organization centrally manages Zoom apps, a Zoom admin may need to remove or approve removal of the app.
In VoxStudio, open Settings → Meeting → Zoom and click Disconnect. Then sign in to Zoom App Marketplace, open Manage → Added Apps, find VoxStudio, click Remove, and confirm the removal.
Before you start
You need an active VoxStudio account and a Zoom account that you are allowed to use for the meeting workflow.
If your Zoom account is managed by an administrator, the app may require admin approval before you can add it. In Zoom App Marketplace this can appear as Request instead of Add.
Zoom asks for several scopes during authorization, including user identity, meeting metadata access, and token-related scopes required by the supported workflow.
Connecting Zoom does not automatically join, record, or transcribe meetings. You must start a Meet Bot workflow from VoxStudio for each meeting you want to process.
Before submitting a bot, make sure you are allowed to record or transcribe the meeting and that any participant notice or consent required by your organization or local law has been handled.
Step-by-step instructions
Adding the app from Zoom App Marketplace
Use this path when you start from Zoom Marketplace and want to add VoxStudio to your Zoom account first.
Sign in to Zoom App Marketplace
Go to marketplace.zoom.us and sign in with the Zoom account where you want to add VoxStudio.
Find VoxStudio
Search for VoxStudio and open the VoxStudio app page.
Click Add or Request
Click Add. If your organization requires administrator approval, Zoom may show Request instead. Submit the request and wait for your Zoom admin to approve the app before continuing.
Review permissions
Review the permissions requested by VoxStudio on the Zoom authorization screen.
Authorize the app
Click Allow. Zoom redirects you to VoxStudio, where you can sign in or create a VoxStudio account if prompted.
Confirm the connection
In VoxStudio, open Settings → Meeting → Zoom and confirm that the Zoom panel shows Connected. If the connection does not complete, go to Common problems and fixes on this page.
Adding the app from VoxStudio
Use this path when you are already in VoxStudio and need to connect Zoom before submitting a meeting workflow.
Open the Zoom connection panel
Sign in to VoxStudio and open Settings → Meeting → Zoom. You can also open Workbench → Transcription → Meet Bot and paste a Zoom meeting URL; if Zoom is not connected, VoxStudio shows a Connect Zoom prompt.
Start Zoom authorization
Click Connect Zoom. VoxStudio redirects you to Zoom so you can review the requested permissions.
Approve access
Click Allow on the Zoom authorization screen. If your Zoom account is admin-managed and requires approval, follow your organization’s Zoom admin approval process before retrying.
Return to VoxStudio
After authorization, Zoom redirects you back to VoxStudio and the Zoom panel should show Connected. If you started from Meet Bot, return to the meeting draft and continue submission.
Using the app for a Zoom meeting
Use this flow after Zoom is connected and you want VoxStudio to capture a specific Zoom meeting.
Submit a Zoom meeting URL
Open Workbench → Transcription → Meet Bot, paste the full Zoom meeting URL, and review the meeting details.
Choose capture options
Optionally set a meeting title, edit the visible bot name, and choose whether to record the screen.
Send the bot
Click Send bot to meeting. The VoxStudio bot joins as a visible participant, and the host may need to admit it if the waiting room is enabled.
Review results after the meeting
When the meeting ends or the bot leaves, VoxStudio processes the captured content in your workspace. You can review the transcript, identify speakers, check meeting facts, organize action items, and reuse the content in downstream workflows.
Removing the app and deleting data
Use this flow when you no longer want VoxStudio to use your Zoom account, or when you want to remove existing meeting content from VoxStudio.
Disconnect Zoom in VoxStudio
Sign in to VoxStudio, open Settings → Meeting → Zoom, and click Disconnect. This stops new Zoom-based Meet Bot workflows from using your connected Zoom account.
Remove VoxStudio from Zoom
Sign in to Zoom App Marketplace at marketplace.zoom.us, open Manage → Added Apps, find VoxStudio, click Remove, and confirm the removal. If your organization manages Zoom apps centrally, you may need a Zoom admin to remove or approve removal of the app.
Understand de-authorization
After de-authorization, VoxStudio can no longer use the revoked Zoom connection for future Zoom meeting workflows until you connect again. Removing the app does not automatically delete transcripts, recordings, translations, summaries, speaker labels, action items, exports, or other assets already created in VoxStudio.
Delete existing meeting data if needed
To remove existing meeting content, open the related session in VoxStudio and use the Delete action. For broader account or integration data deletion, email [email protected] from your VoxStudio account email and include the Zoom account email or relevant session details when available.
Tips and examples
Connect Zoom before an important meeting so you do not have to complete authorization under time pressure.
Use the full Zoom invite URL rather than only a meeting ID so VoxStudio can validate the meeting more reliably.
If a Zoom meeting link keeps blocking Meet Bot, refresh the Zoom settings panel and confirm that the account is still connected.
Zoom authorization does not override host controls. The meeting host may still need to admit the bot or allow recording-related actions.
Common problems and fixes
Why can’t I add or authorize the app?
The most common causes are signing in to the wrong Zoom account, cancelling the authorization screen, an expired authorization attempt, or administrator approval being required. Restart the connection from VoxStudio or Zoom App Marketplace and confirm whether your Zoom account needs admin approval.
Why does VoxStudio show Reconnect?
Zoom credentials may expire after an account password change, an administrator policy update, or previous app removal. Use Reconnect to restore the integration before submitting a new Zoom meeting workflow.
Why can’t the Zoom bot join the meeting?
The meeting may not be active yet, the link may be incomplete, the host may need to admit the bot from the waiting room, or the host or admin may have settings that block external participants or recording-related workflows.
Why are the transcript or outputs missing after the meeting?
Processing normally starts after the bot leaves the meeting. Check the session in your VoxStudio workspace and refresh after a few minutes. If the session remains stuck, contact support with your account email, meeting link or meeting ID, and approximate meeting time.
What happens if I disconnect or remove Zoom?
Future Zoom-based workflows stop until you connect again. Existing VoxStudio sessions and generated outputs remain in your workspace. You can delete individual sessions in VoxStudio, or email [email protected] from your VoxStudio account email to request broader account or integration data deletion.
FAQ
Do I need Zoom connected for Google Meet or Microsoft Teams?
No. Zoom connection is only used for Zoom-specific meeting workflows.
Does adding the app start recording immediately?
No. Adding the app only authorizes the Zoom account. Meeting capture happens only when you explicitly submit a Meet Bot workflow for a specific meeting.
What are the prerequisites for using the app after installation?
You need a connected Zoom account, a valid Zoom meeting link, permission to record or transcribe the meeting, and any participant notice or consent required for your use case.
Can I remove the app from Zoom later?
Yes. Disconnect the integration in VoxStudio, then sign in to Zoom App Marketplace and go to Manage → Added Apps → VoxStudio → Remove. Confirm the removal to revoke the app from your Zoom account.
