Usage

Use Chatbot when you want fast answers, summaries, follow-up questions, or evidence-backed retrieval without opening every session or document manually.

Chatbot can work with current session context, but reusable workspace knowledge questions depend on what has already been built in Knowledge Base.

Knowledge Base now embeds chat directly in the page, so you can ask across All knowledge or stay scoped to one selected source without opening a separate floating panel first.

This makes chatbot useful for questions like "What did this speaker commit to?" as well as "What does our onboarding SOP say about trial extensions?" when that SOP is in Knowledge Base.

Before you start

Chatbot answers are strongest when the relevant session, summary, fact, action item, or knowledge document already exists and is indexed.

If you are asking about reusable workspace knowledge, Knowledge Base is the prerequisite source layer.

On the Knowledge Base page, chat scope follows your left-panel selection: All knowledge searches the whole indexed workspace, while a selected source limits retrieval to that source.

If a new file was only uploaded moments ago, wait for Knowledge Base ingest before expecting grounded KB answers.

Citations may point to session summaries, transcript evidence spans, meeting facts, action items, knowledge documents, or public help docs depending on what the retrieval layer found.

  1. Open Chatbot from the app shell or Knowledge Base

    Use the chatbot bubble in the app shell for session-aware help, or open Knowledge Base for the embedded chat-first workspace experience.

  2. Choose the right scope

    In Knowledge Base, keep All knowledge selected for workspace-wide answers, or click one source to limit chat to that source. In a session workspace, chatbot stays focused on the current session context.

  3. Ask a question with the right scope in mind

    Ask about the current session for session-specific answers, or ask about reusable workspace knowledge when the supporting material has already been added to Knowledge Base.

  4. Review the cited evidence

    After chatbot answers, inspect the evidence chips to see which session, summary, transcript span, fact, action item, or knowledge document was used.

  5. Open the source behind the answer

    Use citation actions to jump into the session or source that supports the answer.

  6. Improve the answer by improving the source

    If the answer is incomplete, add the missing material to Knowledge Base or re-ingest outdated knowledge so retrieval has better grounding next time.

Tips and examples

Ask specific questions that match how the source is written. Retrieval works better with concrete terms, names, and topics than with vague prompts.

When the question is about durable company knowledge, treat KB coverage as the first thing to verify before judging chatbot quality.

Use Knowledge Base when you want a dedicated chat surface for workspace knowledge. Use the global chatbot bubble when you are already inside a session and want context-aware help there.

Example: if KB contains a product pricing FAQ, chatbot can answer "Which plan includes custom onboarding?" and cite that document. If the FAQ is absent from KB, chatbot has no reliable source for that answer.

Example: if you ingest a session with sales objections, chatbot can answer "What concerns did ACME raise about rollout timing?" and cite the matching evidence span or summary.

Common problems and fixes

Why does chatbot answer general session questions but not KB questions?

Session questions may be answerable from the currently available meeting evidence, while KB questions depend on the separate Knowledge Base index being populated.

Why is the answer too generic?

The relevant source may be missing from Knowledge Base, the wording may not match the indexed content well, or the best citation may still be pending ingest. Check ingest status in Source details and confirm the source is indexed before asking again.

Why does a citation open a session instead of a document?

Chatbot cites the evidence type it retrieved. Some answers come from session summaries, transcript spans, action items, or meeting facts rather than a standalone knowledge document.

Why did chatbot miss a newly uploaded resource?

The upload may not have completed Knowledge Base ingest yet, so retrieval still cannot see it.

Why did scoped source chat miss content from another source?

Selecting one source in Knowledge Base intentionally limits retrieval to that source. Switch back to All knowledge if the answer may live elsewhere in the workspace.
